Why people use this

The list is public. Getting it out is the problem.

Nothing here is secret. It is published, on purpose, so people can find it. What it is not is usable: it is spread across hundreds of pages, and it names companies rather than people you can write to.

By hand

  1. 1Open the exhibitor directory and click into all 400 profiles, one at a time
  2. 2Copy each company name and website into a spreadsheet by hand
  3. 3Google every company to find a person worth emailing
  4. 4Guess the email format, then send and hope it does not bounce

Two days of somebody’s week, per show

and you finish with company names, not people you can email

With Exhibitor Lists

  1. 1Drop the exhibitor directory. Paste the exhibitor page URL, upload a downloaded CSV or PDF, or describe the event. Kuration handles any format.
  2. 2AI extracts and enriches every exhibitor. Kuration extracts company names, booth numbers, and website URLs, then enriches each with the right decision-maker: the sales lead, VP of Business Development, or CRO.
  3. 3Export enriched list to CSV or CRM. Download as CSV, push to HubSpot, or connect via API. Your complete exhibitor database, ready for outreach.

Whatever they published

You do not get to choose the format. Neither do we.

Some organisers publish a tidy directory. Some publish a PDF of the floor plan. Some publish a wall of logos. All three end in the same table.

The exhibitor directory

Paste the URL. Hundreds of profile pages become rows.

The PDF programme

Floor plans and brochures, including scans. Booth numbers come through.

The list you already have

Last year’s export, half filled in. It gets completed rather than rebuilt.

The playbook

How to get the most out of Exhibitor Lists

Specific, tactical ways teams run this template on Kuration — not just what it does, but how to win with it.

1

Turn a PDF floor plan into a pipeline

Drop the exhibitor manual or floor plan PDF, even a scanned one. Kuration reads the pages, so booth numbers and hall data come through when there is no clean web directory to scrape.

2

Compare two years to find churn

Upload last year and this year and ask which companies dropped off. Those are warm winback targets who already know the event and had budget for it before.

3

Filter to your ICP before you enrich

Narrow by country, hall, or category first, then enrich only the rows that matter. You spend credits on real prospects instead of the entire floor.

4

Route each exhibitor to the right rep

Push strong fits straight to the rep who owns that region or vertical, so no lead sits forgotten in a shared spreadsheet after the show ends.

From a real extract

Six rows from the Aquatech Amsterdam extract: stand, website, and whether a company email was on the site. Addresses are not printed. A decision-maker name is the next column, added in the app.

The list that is published openly and indexed nowhere

Every trade show publishes a complete, pre qualified list of companies that are spending money in your market this year. It names them, classifies them, and prints roughly what each one paid. Then it puts that list in a PDF or a directory page that no data vendor ingests, which is exactly why buying the same companies from a database gets you a different, worse list.

Where the value actually is

It is not the company names. Anyone can get those. It is the chain from a document to a named human, and the fields that only the organiser holds.

  • The document is the barrier. A show guide is a PDF, often scanned, often a floor plan with names printed on it. Kuration reads the file itself with OCR and structured entity extraction rather than needing a tidy table, at 1 credit per row.
  • Trading names are the second barrier. Guides list brands in capitals with country suffixes, not legal entities. Official Website Finder resolves those to a canonical domain, at 2 credits per row, which is what everything downstream depends on.
  • Job titles are the third. You do not know whether a given exhibitor calls it Head of Partnerships, Commercial Director or Marketing Lead. Find People Agent takes the role you describe and resolves it to the titles that company actually uses, then ranks by seniority. Charged per result, so a miss is free.
  • The show fields are the payoff. Stand size, hall, sponsorship tier and category exist nowhere else, and they are the only budget signal you will ever get for free.

One entry, before and after

This is the whole product argument in a single row. On the left, what the guide prints. On the right, what you can actually send an email to.

What the show publishes that no database holds

FieldWhat it actually tells you
Stand size and locationBudget. A headline island stand and a shared pod are different companies with different buying power.
Sponsorship tierThe clearest public signal of marketing spend you will get without asking.
Exhibitor categoryHow the company describes itself to buyers, not how an analyst classified it.
Country pavilionExport intent. A company on a national stand is actively looking outside its home market.
Repeat participationCommitment. Exhibiting three years running beats any intent score.
Launches and demosWhat they will spend the next two quarters selling.

If you run the event

Organisers get more from this than anyone, because all three of your exhibitor pipelines are already published. None of them need buying.

  • Rebook before a competitor does. Your own past exhibitor list, enriched to the person who signs rather than the inbox that ignores you.
  • Recruit from adjacent shows. Companies exhibiting at a neighbouring event have already proven they buy stands. That is the warmest exhibitor prospect that exists, and the list is public.
  • Work the announcement. Pull the people who reacted to or commented on a LinkedIn post about the show, at 2 credits per row. They raised their hand in public, and nobody follows them up.
  • Fill the thin categories. Compare your floor plan against two comparable shows, find the gaps, then source companies in exactly those categories.
  • Approach sponsors at the right number. Tier data tells you who already spends at gold level elsewhere, so it is a sponsorship conversation rather than a stand enquiry.
  • Build the speaker pipeline from published agendas, which is a better shortlist than any call for papers.

When to run it

The list barely changes. The message does.

What goes wrong

Four failures account for almost every bad exhibitor list, and all four happen before you spend a credit on enrichment.

  • Page furniture becomes rows. A show guide also contains a schedule, a floor plan and adverts. Strip them first, or you pay to enrich a row called Hall 3.
  • Trading names are not normalised. Resolve rates collapse on ALL CAPS names with country suffixes. Clean them, then resolve domains.
  • Deduplicating on the company name. A large exhibitor appears once per brand, once per category and once in the sponsor list. Deduplicate on the resolved domain instead.
  • Dropping the show fields. Stand, hall and tier are the entire reason to use this source. Without them you have paid extra for an ordinary company list.
