How to get a trade show exhibitor list: 9 tools compared

Trade shows usually publish their exhibitor list on the organiser’s website as a directory. Turning it into a spreadsheet of companies, with the right person at each, comes down to three ways of working: buy a list someone has already compiled, scrape the directory yourself, or extract and enrich it in one go.

This guide compares nine tools across those three ways, with prices, coverage and limits as each vendor publishes them.

We make Kuration, and it is on this list. It is described the same way as every other tool: what it does, what it costs, and its limits.

How we chose

It gets you the exhibitors of a named show

Each tool either sells a show’s exhibitor list, scrapes an organiser’s directory, or extracts it and adds contacts.

It says what you actually receive

Company names only, booth numbers, websites, or named decision-makers with emails: the guide says which, as the vendor states it.

Prices as published

Per-list prices, monthly plans or licences are quoted as published; quote-only vendors are labelled as such.

Checked on the vendor’s site

Every figure comes from the vendor’s own pages, on the date shown under each tool.

1.Kuration AI

Custom B2B database

Best for: Extracting any show’s directory, then finding the decision-maker at each exhibitor

Builds your own list of the companies that buy, distribute or import a physical product, in any country, from the places they actually show up (licence registers, trade-show exhibitor lists, dealer locators, maps, PDFs and directories), then finds the person who decides at each one.

Kuration’s Exhibitor Lists template takes the directory URL, a downloaded CSV or a PDF exhibitor manual, extracts company names, booth numbers and websites, then finds the right person at each exhibitor: the sales lead, the export or business-development manager, or the managing director. For an example, the Aquatech Amsterdam 2027 page on this site lists all 611 companies from the public directory.

What it does well

  • Finds companies that are not in contact databases: registers, exhibitor lists, dealer locators, maps and PDFs, in any language.
  • Finds the decision-maker at each company and reaches them by email, LinkedIn and WhatsApp from the same workspace.
  • API on every plan, Free included; CRM sync (HubSpot, Zoho, Salesforce, Attio) and MCP from Starter.

Limits it documents

  • Free plan exports up to 25 rows per list, for 1 user.
  • Starter includes 1 email inbox and 1 each of LinkedIn, WhatsApp and Sales Navigator.
  • Credit-based: searches and enrichments use credits (Starter: 2,500 a month).
Coverage
Any country and any language: each source is read on the day you ask, rather than taken from a pre-built index.

How to choose

If the show is big and you need the list today, buy it

Expolista shows the price and how many contacts a list includes before you buy; ExpoCaptive quotes per request. Check the counts: not every exhibitor comes with a named contact.

If you are technical and the directory is on a common platform, scrape it

Apify’s community Actors cover popular directory platforms and charge per result. Octoparse, Browse AI and WebHarvy let you build your own scraper without code. You then need a separate step to find the decision-maker at each company.

If you need the person who decides, not just the company

Kuration extracts the directory and finds the decision-maker in one run; Lensmor unlocks exhibitors and reveals contacts separately for credits.

Start from the calendar

Pick the show first. Our trade show calendar lists upcoming physical-product shows by date and industry, each with how to get its exhibitor list.

Questions

Where can I find a trade show’s exhibitor list?

Usually on the organiser’s own website, as an exhibitor directory or a downloadable PDF, published in the weeks or months before the show. Event directories such as 10times also show companies that exhibited at past editions.

Can I download an exhibitor list with emails?

Organiser directories rarely include personal emails. List sellers such as Expolista and ExpoCaptive sell lists with contacts where they found them, and Kuration finds the decision-maker at each exhibitor after extracting the directory. Expect some exhibitors without a named contact.

How much does an exhibitor list cost?

It ranges from the cost of a scraper run (Apify’s exhibitor Actors list about $3 to $4 per 1,000 exhibitors) to a one-time list purchase (Expolista shows prices per show, for example USD 286.35 for Automechanika Dubai 2026). Kuration’s first list is free: 20 companies with contacts.

What is the best tool to scrape exhibitor lists?

If a ready-made scraper exists for the show’s directory platform, Apify’s Store Actors are the quickest. For other directories, Octoparse, Browse AI and WebHarvy let you build a scraper without code. Kuration extracts any directory, CSV or PDF and adds the decision-maker.
